TERMS AND CONDITIONS
*Applicant/Applicants = Medical Students (students) and Medical Graduates (participants) pursuing On-site clinical rotations and Tele-rotations with Brooklyn USCE
Ⅰ. Postponement Fee:
1. Only Standard Packages are eligible for postponement. Exclusive Packages cannot be postponed. For all of the below-mentioned conditions, applicants will be able to postpone their rotation after making the full payment of the balance fee (due for their respective rotations), and the postponement fee (according to eligibility).
- (a) If an applicant postpones the rotation once by informing Brooklyn USCE 4 weeks before the start date, with a valid reason and proof, then no postponement fee will be charged.
- (b) Between less than 4 weeks and 2 weeks to the start date - applicants can postpone the rotation once by informing Brooklyn USCE and making a payment of $300 as a one-time postponement fee, with a valid reason and proof, up to 1 year (based on availability) from the initial start date of their rotation.
- (c) Less than 2 weeks to the start date - applicants will not be able to postpone the rotation and if applicants are not able to attend the rotation, then their entire fee (deposit fee plus balance fee) will be non-refundable. These applicants will have the option to convert to Tele-rotations for the same dates if available.
2. For any issues regarding flight delays by a few days, applicants can join the booked rotation for those dates whenever they land in the USA, but their last date will be the same as per the initial booking, and no extra days will be compensated by Brooklyn USCE. It’s the applicant’s responsibility to plan their travel well in advance to be able to start the rotations timely on the actual booking dates.
3. In case any applicant turns COVID-19 positive a few days or just before the start date of the rotation, those applicants will have to provide Brooklyn USCE with the following documents:
- (a) Positive COVID-19 RTPCR report with the appropriate date from a government-authorized center of any country.
- (b) A letter from the PCP (primary care physician) stating the same. The letter should be signed and stamped by the PCP while also mentioning the date.
- (c) Flight tickets (if the applicant coming to the USA for on-site rotations).
If these criteria, as per points 3 (a), 3 (b), and 3 (c), are fulfilled by the applicant, then the applicant will be able to postpone the booked rotations once without any additional postponement fee up to 1 year from the initial start date of the rotation (based on availability).
4. If the applicant fails to postpone the already booked rotation within 1 year from the initial start date of the rotation, as per criteria of points 1 (a), 1 (b), 1 (c), and 3, the rotation will stand canceled. The deposit fee, balance fee, and postponement fee paid by the applicant for that particular rotation will not be refunded.
Ⅱ. All documents must be emailed at least 2 weeks before the rotation start date. Failure to submit the documents will lead to the automatic cancellation of your rotation.
Ⅲ. All rotation fees (deposit fee, balance fee, and postponement fee) are non-refundable.
Ⅳ. Invitation Letter:
1. We do not provide Visa Assistance. However, we can provide you with an Invitation Letter. You can show this Invitation Letter as a supporting document during your Visa interview along with your other supporting documents.
2. This Invitation Letter will be similar to a confirmation of rotation mentioning your name, rotation name, dates, and the amount paid. The Invitation Letter helps as a supporting document for your Visa application. You cannot solely rely on it to acquire your Visa. You will have to get in touch with your embassy for more information regarding the same.
3. Applicants who enroll with Brooklyn USCE can request an Invitation letter in the following ways:
- (a) Applicants enrolling via Brooklyn USCE Standard Package can request an Invitation letter by making the payment of their rotation Deposit fee correlating to the number of weeks they enroll for.
- (b) Applicants enrolling via the Brooklyn USCE Exclusive Package can request an Invitation letter by making the full payment of their rotation fee and benefit from the discount towards the rotation fee.
4. Once you make the payment of the rotation fee (Deposit or Full payment, according to the Package you choose to enroll) you can request us for an Invitation Letter by sending us the 2 required documents (mentioned below), thereafter you will receive the Invitation Letter on Brooklyn USCE’s letterhead within 1 – 2 business days.
5. The 2 documents required to receive the Invitation Letter are:
(a) Passport copy
(b) Graduation certificate (if you are a graduate) OR Letter from your college principal mentioning your expected date, month, and year of graduation (if you are a medical student).
*Please note that without these documents an Invitation Letter cannot be issued.
Ⅴ. Failure to make the payment of the Balance fee 2 weeks prior to the start date will lead to automatic cancellation of your rotation.
Ⅵ. If an applicant fails to communicate or respond to reminders sent by our Team before the start of their rotation date, the rotation will be considered as cancelled and all fees paid is non-refundable. The rotation stands cancelled even if the applicant doesn’t end up paying the balance fee and submit the necessary documents before the rotation start date.
Ⅶ. If an applicant makes the payment of the Deposit fee to enroll for two or more rotations/months and can attend only one rotation/month, then the Deposit fee for the other rotations/months will be forfeited and cannot be compensated as Balance fee for the one rotation/month which the applicant decides to attend. In this case, the Balance fee for the one rotation/month will have to be paid in full at least 2 weeks prior to the start date. (1 month = 4 weeks)
Ⅷ. The Invitation Letter provided by Brooklyn USCE is a document stating the confirmation of rotation which acts as one of the supporting documents for Visa application. It is important for applicants to have all the other supporting documents intact and be prepared for their Visa interview. Applicants cannot solely depend on the Invitation Letter to get their USA Visa. Brooklyn USCE won’t be responsible if the applicant fails to acquire a USA Visa.
Ⅸ. If an applicant enrolls for an On-site rotation and for any reason shifts to a Tele-rotation, they will still need to pay the full fee (according to their package) for the On-site rotation. They will not be eligible for any discount or their fee will not be adjusted for the Tele-rotation packages.
Ⅹ. If for any reason an enrolled applicant fails to acquire a US Visa on time, they will have the following options:
- (a) The applicant can convert to the available Tele-rotations for the same dates.
- (b) If the applicant has taken a standard package, then based on the eligibility criteria as mentioned in point Ⅰ, they may postpone their clinical rotation 1 time, either with or without extra charges, depending upon the terms and conditions mentioned in point Ⅰ.
Ⅺ. The services provided by our Partners/Collaborators are according to their individual company policies. Brooklyn USCE will not be responsible for any services provided by them, and for any discrepancies if faced with them.
Ⅻ. Regarding Letters Of Recommendation:
- (a) Letters Of Recommendation are performance-based and will be issued based on the merit of the individual.
- (b) Uploading of the LOR is between the applicant and the attending. It is the responsibility of the applicant to attain all the necessary information regarding their LOR from their attending during the tenure of their rotation and they can request for an LOR after completion of their rotation.
